Estimate Policy

  • Free initial estimates are offered for most standard services.
  • Estimates are honored for 14 days from the date of issue.
  • For complex projects, any potential consultation fees will be discussed upfront before any work or site visit is scheduled.
  • Estimates provided are non-binding and subject to final approval and site evaluation

Service & Satisfaction Policy

If you are not satisfied with completed work, please notify us within 48 hours of service completion. We will make reasonable efforts to correct any issues related to workmanship at no additional labor cost when applicable.

Payment and Refunds Policy

We accept all major credit cards, EFT (electronic funds transfer), cash, and checks — including in-person card payments on-site. Payment terms are discussed and agreed upon during the estimation process. Payment is due at completion under normal circumstances. For recurring maintenance plans, billing schedules will be outlined in the service agreement.

Online Payments via Square
Online invoice payments are processed securely through Square, a PCI-DSS Level 1 compliant payment processor. By paying online, you acknowledge and agree to the following:

  • All card transactions are encrypted using industry-standard SSL/TLS technology. Reed Rural Services Ltd never receives, stores, or has access to your full card number, CVV, or banking credentials.
  • Upon successful payment, Square will send an automatic email receipt to the address associated with your payment. Please retain this as proof of payment.
  • Payments are applied to the invoice number entered at checkout. It is the customer's responsibility to enter the correct invoice number. If an incorrect invoice number is provided, contact us promptly so we can locate and apply the payment.
  • Online payments are processed in USD. No currency conversion is performed by Reed Rural Services Ltd.
  • Reed Rural Services Ltd is not responsible for technical issues, outages, or errors originating from Square's platform. In the event of a payment failure, please contact us directly.

Chargebacks & Disputes
If you believe a charge is incorrect or unauthorized, please contact us before initiating a chargeback with your card issuer. We are committed to resolving billing concerns promptly and fairly. Chargebacks initiated without prior communication may result in collection activity for amounts owed for legitimately rendered services. Any payment disputes must be submitted in writing within 7 days of the invoice date.

Refunds
Refunds will not be issued for:

  • Commercial maintenance plan cancellations mid-month of service
  • Completed labor
  • Emergency or after-hours services
  • Materials purchased specifically for a project
  • Services delayed or impacted by weather, access issues, or client-provided restrictions

Where a refund is approved, it will be returned to the original payment method within 5–10 business days depending on your card issuer. Square processing fees are non-refundable and will be deducted from any approved refund amount.

Scheduling Policy

Scheduling & Appointments
Appointments are scheduled on a first-come, first-served basis and are subject to availability. We recommend booking in advance to secure your preferred date and time. All appointment requests must be confirmed by Reed Rural Services before they are considered scheduled.
Arrival Windows Because job times can vary based on scope and unforeseen conditions, we provide estimated arrival windows rather than exact arrival times. Customers will be notified if there are any delays or scheduling changes. We appreciate your understanding and flexibility.
Cancellations & Rescheduling We kindly request at least 24 hours’ notice for any cancellation or rescheduling. Cancellations made with less than 24 hours’ notice may be subject to a cancellation fee or forfeiture of any deposit paid. Repeated last-minute cancellations may require prepayment for future bookings.
No-Show Policy If a customer is not available at the scheduled time and we are unable to access the property, the appointment will be considered a no-show. No-shows may be subject to a service charge and may require prepayment for future appointments.
Weather & Unforeseen Conditions Some services are weather-dependent. In the event of unsafe weather conditions, equipment issues, or emergencies, Reed Rural Services reserves the right to reschedule appointments as needed. Customers will be notified as soon as possible.
Access to Property Customers are responsible for providing safe and reasonable access to the property at the scheduled time. Pets should be secured and work areas cleared to avoid delays.
Deposits & Large Projects Certain larger projects or special orders may require a deposit prior to scheduling. Deposit requirements will be communicated in advance.
Payment Timing Payment is due upon completion of services unless otherwise agreed in writing. Agreement By scheduling services with Reed Rural Services, customers acknowledge and agree to this scheduling policy.
